Sign up for a raid and manage signups

How raiders answer a signup sheet in Discord, and how officers read, edit and close sheets on the website.

A signup sheet is a Discord post with buttons. Raiders answer it in Discord. Officers read and manage every sheet on the Signups page of the website.

For raiders: signing up in Discord

Say you are coming

  1. Press the button for the role you will play: Tank, Healer, Melee or Ranged.
  2. Answer the private follow-up. Only you can see it.
    • If you have claimed characters on Guild Pro, pick one from Which character are you bringing?. Choose A different character… to type a name instead.
    • If you have not claimed any, pick your class, then your spec, then type your Character name as it is spelled in game.
  3. The sheet updates with your name.

Your character name matters. Attendance is matched by character name against what the addon records in the raid, so a misspelled name can show you as a no-show.

If you pick a class and then close the name box, you are still signed up, without a name. Press the role button again to finish.

Other answers

ButtonMeaningListed on the sheet under
TentativeYou might make it.Tentative
LateYou are coming, but late.Late
BenchYou are available but happy to sit out.Bench
Can’t make itYou are not coming.Absent

These four save as soon as you press them. They answer for you as a person, not for one character.

Change your answer

Press a different button. On a standard sheet you only ever have one answer, so the new one replaces the old one. To change character or role, press a role button again and pick again.

Sheets that take several characters

Flexible and split sheets say so under the title, and have an extra My characters button.

  • Pressing a role button again adds another character. It does not replace the first.
  • Press My characters to see what you have offered. Use Remove a character… to take one back.
  • Pressing Tentative, Late, Bench or Can’t make it replaces all your characters with that one answer.

On a flexible sheet you still take one seat, and the raid leader picks which character. On a split sheet each character can run a different split.

Reading the sheet

  • The first line counts each role. A second number such as +2 means two more people could fill that role but also offered another character.
  • Tanks have their own column. Everyone else is grouped by class.
  • The number before each name is your place in the queue, in the order people signed up.
  • A number after a name is that character’s Warcraft Logs parse for this raid. It only appears if the officer turned parses on, and only for characters that have one.
  • The footer shows how many people have signed against the raid size.

Once an officer closes the sheet, the buttons are disabled and a press answers “Signups are closed for this raid.”

For officers: the Signups page

Open Signups in your guild’s sidebar, at /g/your-guild/signups (“your-guild” is your guild’s address).

Open sheets

The Open table has one row per sheet:

  • Raid, Instance and When.
  • One column per role. The small +n beside a count is people who could fill that role but offered another character too.
  • Signed - people who said yes, against the raid size. People are counted, not characters. On a flexible or split sheet the number of characters is shown beside it.
  • full, or how many the sheet is short.

Each row has three actions:

  • Build comp opens the Comp builder on that sheet.
  • Edit opens the form to change the title, instance, time, size or team. Signups already on the sheet are kept, and the post in Discord is rewritten. The time is shown and read in your guild’s timezone, the same as when you create a raid. The channel and the signup mode cannot be changed.
  • Close stops the sheet taking answers and disables the buttons in Discord.

To close several sheets at once, tick them and select Close them.

Closed sheets

Closed sheets are folded away under Closed. Each shows matched if the raid it became has been imported, or no raid imported if not. Select Reopen to take answers again.

Sheets close themselves after the raid

When a raid recorded by the addon is uploaded, Guild Pro looks for a sheet whose start time is within 12 hours of it. If one sheet clearly fits, it is tied to that raid and closed. If two sheets fit equally well, neither is tied. A split sheet closes when its last split has been matched.

A sheet tied to a raid is what lets Attendance count no-shows.

Limits and notes

  • The Signups page lists up to 40 sheets.
  • Only officers and admins can create, edit, close and reopen sheets.
  • Guild Pro does not post sheets on its own from this page. Automatic posting is opt-in. See Automations.
