Turn on automations
Let the bot send reminders, chase unanswered rosters and close signup sheets on its own.
Automations are things the bot does without anybody pressing a button. Every automation is off until an admin switches it on. Officers can see the page. Only admins can change it.
Before you start
- Open Automations: /g/your-guild/automations, where “your-guild” is your guild’s address.
- Check the time shown beside The clock. It comes from your guild’s timezone. If it is wrong, fix the timezone in Settings first, or every automation fires at the wrong hour.
- Channel automations need a channel route. See Choose where the bot posts.
Switch one on
- Find the automation’s card.
- Tick On.
- Choose the Lead time (on Close the sheet this field is After the start).
- Optionally pick a channel under Posts to. Leave it on — where the routes say — to follow your channel routes.
Each change saves as soon as you make it. The card shows where the post will land, a warning if there is nowhere to post, and its Last firings.
The automations
| Automation | What it does | Lead time | Reaches |
|---|---|---|---|
| No sheet up yet | A scheduled raid night is close and no signup sheet exists. Posts a notice with a Post a sheet button. | 1 to 14 days before. Default 5 days. | Signups route |
| Raid starts soon | Posts a reminder with how many have signed up, are tentative, or are out, and a Go to the sheet button. | 15 minutes to 1 day before. Default 1 hour. | The channel the sheet is in |
| Chase the silent | DMs everyone on a published roster who has not answered. | 30 minutes to 7 days before. Default 4 hours. | DMs |
| Applications waiting | Tells officers that applications have waited too long, with an Open the pipeline button. | Applications older than 1 to 14 days. Default 3 days. | Applications route |
| Close the sheet | Closes signups once the raid has started. The sheet’s buttons stop working. | Straight away to 6 hours after the start. Default 30 minutes. | The sheet itself |
More detail:
- No sheet up yet uses your raid schedules. If a schedule has its own notice period, that is used instead of the lead time here. It fires once per raid night, and not at all if any sheet already exists for that day, including one posted with
/raid. - Raid starts soon fires once per sheet. Tick @here on the reminder to ping the channel.
- Chase the silent only works for rosters published with a start time. Inside the window it sends one DM a day to each person who still has not answered, and stops for a person once they answer.
- Applications waiting posts at most once a day, and only to the Applications route. If that route is not set, nothing is posted.
- Close the sheet only closes sheets whose raid started within the last 7 days.
Quiet hours and the daily cap
Under The clock:
- Enter Quiet from and until as 24-hour times, for example
23:00and08:00. - Enter a Daily cap, from 0 to 1000. The default is 200.
- Select Save.
- Quiet hours silence every automation for the whole guild. Clear both boxes to turn quiet hours off.
- The daily cap is the most messages automations may send in one day. The card shows how many were sent today. Closing a sheet does not count.
Things to know
- The bot checks every five minutes, so an automation can fire a few minutes after its exact time.
- Next raid nights lists the raid nights the bot sees coming. If one is missing, its schedule is switched off on the Raid teams page.
- The Posts to list only offers channels the bot can post in.
- Everything an automation sends is logged in Recent activity on the Bot page.
